Rent equipment

The Caltech Y rents out low-cost gear for the Caltech & JPL community — students, faculty, staff, and alumni.

Rental FAQ PDF

You will receive an email the day before your rental starts with information on how to pick up your reserved items. On your pickup day, you may pick up reserved items from 10 AM–4 PM from the numbered bins on the porch outside the Caltech Y or by following special instructions. Bin number and/or special instructions will be included in the pickup email.

Return windows and special rules for tents & AV gear:

Place items you are returning in the bins labelled “Rental Gear Drop Off” on the porch outside the Caltech Y, except tents.

All tents must be set up, inspected by a staff member, and taken down and repacked, upon return. An additional $20 fee per tent will be assessed if you are unable to set up or take down your tent(s) at the time of return. If you are renting multiple tents or a 6-person tent, you MUST bring extra people with you to help set up and take down. Tents and other equipment should be returned clean and dry. Wet or dirty items may require renters to air them out and return them another day — please consult with Y staff on your return.

If you have electrical items such as PA systems, movie screens, or projectors, please knock on the door and leave it with a Y staff member. Audiovisual cords must be neatly wrapped and put in their designated spots in the PA cart case upon return.

You must cancel your reservation no later than 5 PM on the business day before your scheduled rental pickup for a full refund. Failure to do so will result in a 1-day charge for each item that is canceled or not picked up, with the remaining balance eligible for refund.

When do you need your equipment?

Reservations are available:
  • no earlier than 60 days before return date
  • no later than 5 PM the business day before pickup
  • No same-day reservations.
Pickups & drop-offs are only Mon, Wed, Fri · 10 AM – 4 PM.
